How to Gather RSVPs for Your Hybrid Wedding

Congratulations – you’re getting married! What a fun moment in life to celebrate. If you’ve started planning and decided you’ll have a hybrid wedding (part in-person guests, part virtual/online guests), this article is for you. 

The trickiest part of a hybrid wedding isn’t deciding who will be in-person and who will tune in online, or how many people will, instead it’s how you’ll get the responses for those decisions. The way you collect them can be tricky, but it doesn’t have to be. We’ll go over a few options and best practices to make sure that collecting RSVPs is a breeze. 

 

1.     Physical Invitations

The most traditional option for gathering RSVPs is physical invitations. With a physical invite and RSVP card, it offers you a single way to gather your information (and is a great physical reminder for couples who receive it). However, so many people forget to send in physical RSVPs, lose the card, or lose the entire invite in the mail. The cost associated with a physical invitation is higher than that of an e-vite, and if you’re sending them to all of your guests, in-person and virtual, then you run the risk of higher costs. You’ll need to include multiple options 

 

2.     All Virtual Invitations

All virtual invitations, or e-vites, are a great option that has become popularized in recent years. The positives of e-vites are their low cost and ease of use. They simplify collection, streamline sending, and remove a number of hoops to jump through, so to speak. They might not be as pretty or fun, but they’re still an aesthetically pleasing, low-cost alternative to physical invitations. Using all virtual invites also means that you’ll have to include multiple options, such as Attending In-Person or Joining Virtually. 

 

3.     Physical/Virtual Combination

If you have a set list of people you’d like to come in-person, and a list of those you’d like to be virtual, this is your best option! On your physical invitations, you can send all location and timeline information, complete with an RSVP card and option for them to choose to attend virtually should they not be able to attend in-person. With your virtual invites, you can give all streaming options, timeline info and more, with the option to attend virtually or decline and watch later.
